5 Tips for Improving Productivity at Work

Have you ever felt that you are not able to finish everything on your list by the end of the day? Or do you start your day with a to-do list or a goal and at the end of the day, you find that list is even bigger? Oh, been there done that! Yeah, we know the feeling… It can be difficult to be productive at work. However, the key to productivity is to manage your time. 

Since it can be hard to know where to start, we have prepared some tips for you to help you with this. Whether you are a startup or an SME, you still have to structure your time effectively and survive the 24 hours. Read these 5 tips for improving productivity at work, and start working smart!

1. Stop multitasking

Usually what most people do is try to solve several things at once, since they consider them to be small or easy tasks. However, that simply does not work well. As neuroscience professor Earl K. Miller said, “multitasking is not humanly possible.”. Well, we agree! You are fooling yourself if you think that you can balance a phone call, prepare slides for a presentation, and have lunch at the same time, all the time. Don’t do that. Try to focus on one thing at a time, and you will see that it will make you more productive. You might even complete your tasks faster than before. 

2. Take breaks

You may be thinking that if you work in long stretches, you can get more work done.That is not completely true, you will get burned out. According to studies, if you take regular short breaks, you will have a higher concentration level and your mood will also be boosted. Sounds good, right? So, if you can, take a five-minute walk around the office; or just grab a tea, coffee, water, or spread your legs for a while. It would be worth it. 

3. Set small goals

We all get overwhelmed by our goals and this can be so stressful. Having a handful of big projects or tasks on your calendar can make you panic and overthink, try to avoid this. Break them into smaller tasks. In this way, you will feel more in control and you will be more productive, trust us. You can keep track of your day-to-day activities like this, it makes your workload appear easier to achieve.

4. Solve bigger tasks when you’re most alert

Sometimes we tend to push bigger tasks aside because we lack confidence in that moment. Then, when we go back on them, we are just too burned out to focus. That’s how we end up postponing tasks till when we are no longer productive. 

It is essential to understand how you work and to know the times when you work and concentrate best, so you can complete the bigger tasks in those moments. There is no set schedule or time for working, we are all different. Some people function better in the morning, so if you are a morning person, take care of the big tasks in the morning. For others, the right time may be just after having your lunch. There is no right or wrong timing. You just have to figure out what works best for you. 

5. Have a “two-minute” rule

You can make the most of your time if you fill your schedule with a lot of tasks. Yeah, you have heard it right, a lot! However, let them all be two-minute tasks. If that task takes you two minutes or less, then do it now, like right away. Start working and complete them one by one. 

Not every task can be achieved in a period of two minutes only. This rule is to help you form the habit of starting a task in less than two minutes. You may not know how long it will take you to finish it, however, the very act of starting a task is a step towards accomplishing it. 

In summary

You will have good and bad days, do not beat yourself over that. Sometimes you will be productive and sometimes not. Try to apply these five tips and you will be amazed at how much more you can achieve during the day, regardless of where you work, home or office.
